E-mail management 101: folders, filters, and file compression

Feeling overwhelmed by the volume of e-mail you receive? Setting up mail folders can help. Most e-mail programs allow you to designate seperate folders for mail for specific categories of mail. You can, for example, easily set up a folder for your ISBA list mail in most programs, keeping it organized and out of the way til you're ready to read it, or so you can archive it if you so desire.

Instructions for doing just that in several popular programs follow, because we're just that kind of helpful people here at ISBA. (Even if your program is not listed, it probably has similar options, consult your documentation or drop me a note and I'll try to find out for you.)

NOTE: IF YOU USE MICROSOFT OUTLOOK, skip the steps below and use the Outlook Rules Wizard.

Step 1: Create a New Mail Folder

  • EarthLink 5.0 MailBox
    Click the My Mailbox icon at the top of your email folder list, above your Inbox.
    Click the MailBox menu, select Folder, and choose New Folder.
    Type a name for the folder and click OK.

  • Eudora
    Click the Mailbox menu and select New.
    Type a name for your new folder and click OK.

  • Groupwise
    Go to Edit, select Folders, select New, select personal folder, give the folder a name (e.g. "ISBA Discussion Group"), select "Next," select "Finish."

  • Microsoft Outlook Express (Windows)
    Go to the File menu and select the Folder submenu.
    In the pop-up menu, select New Folder.
    Single-click the Outlook Express icon in the folder window to highlight it. If you'd like to create the new folder within an existing folder, highlight that folder instead.
    Type a name for your new folder and clickOK.

  • Microsoft Outlook Express (Macintosh)
    Go to the File menu and select the New submenu.
    In the pop-up menu, select Folder.
    Type a name for the new folder and hit Return.

  • Netscape Messenger (Windows and Macintosh)
    From theCommunicator menu (on some Mac versions, this is the small lighthouse icon in the menu bar), select Message Center.
    In the Message Center window, single-click the Local Mail folder to highlight it. If you'd like to create the new folder within an existing folder, highlight that folder instead.
    Click the New Folder button in the toolbar.
    Type a name for your new folder and click OK.
    Close the Message Center window.

  • Yahoo
    Click folders (add)
    Type a name for your new folder and click OK.

    Step 2: Set up your filter criteria

    Tell your email program which messages you want sent to your new folder. For example, you can create a filter that directs all ISBA list mail into a folder named "ISBA List Mail" (or "purple bunny rabbits"- call it anything you like). You can also have it direct all mail by someone on the list you're tired of hearing from directly to the trash so that you don't have to waste a second on it, even just clicking on it to throw it out.

    To create a basic filter:

  • EarthLink 5.0 Mailbox
    Click the MailBox menu and select Edit Filters.
    Click Add.
    Check the boxes next to those criteria you want to specify. Then type your criteria in the corresponding text fields.
    Click Next.
    Check the box next to the action you'd like MailBox to take when it encounters a message using the criteria you specified. If you choose an action that transfers a message to a folder, click the small button to the right of the text field. Then, click the mail folder you want and click OK. Click Next.
    Type a name in the Rule Name field. This name is for your reference and can be anything you want. Click Finish.
    Click Close.

  • Eudora (Windows and Macintosh)
    Click the Tools menu (or the Window menu in older versions) and choose Filters.
    Click New.
    Using the pull-down menus in the Match section, specify the criteria your filter should check. Use the blank text field to type the text your filter should look for in the email message.
    Use the next set of pull-down menus in the Action section to specify what action the filter should perform with messages that match your criteria. This is where you designate the mail folder you want the message sent to.
    Click the File menu and choose Save.
    Close the Filters window.
    When you're creating filters, it's important to be as specific as possible when typing in your filtering criteria. If your criteria are too general, some of your incoming messages may end up in folders you don't want them in.

  • Groupwise
    Go to "Tools," select "Rules," select "New," assign a name to the rule (e.g., "ISBA Discussion Group")
    Check the box that says "Received," check the item-type "Mail," select "Define Conditions," select "Item Type" from the drop-down list, select "Mail," select "Add Action," select "Move to folder" and choose the folder you created (e.g., "ISBA Discussion Groups") which should be on the list of alternatives you're presented with, select "Save."

  • Microsoft Outlook Express (Windows)
    From the Tools menu, select Inbox Assistant.
    Click the Add button to create a new filter (Outlook Express refers to filters as "rules").
    In this new Properties window, specify your criteria by filling in any or all of the fields under the section titled When a message arrives with the following criteria. Make sure the All messages box at the top is not checked.
    In the bottom portion of the window, select the action or actions you'd like Outlook Express to perform when an incoming mail message meets the criteria you entered in the previous step. This is where you can specify which mail folder you want the message sent to.
    Click OK to close the Properties window, then click OK to close the Inbox Assistant window.

  • Microsoft Outlook Express (Macintosh)
    Go to the Tools menu and select Mail Rules. (Outlook Express refers to filters as "rules.")
    Click the New Rule button.
    Type any name you wish in the Rule name field to help you identify the filter. Make sure the Apply to incoming box is checked.
    Under the Criteria section, use the pull-down menus to specify the criteria your filter should check for. Type the actual text that the filter should look for in the text field. If you wish to specify more criteria, click the check boxes next to the grayed-out pull-down menus to activate those menus. Under the Actions section, use the pull-down menus to specify the action or actions you want the program to perform with messages that match your criteria. This is where you can specify which mail folder you want the message sent to.
    Click OK.

  • Netscape Messenger (Windows and Macintosh)
    Go to the Edit menu and select Mail Filters. Click the New button.
    Type any name you want to help you remember the filter's purpose. Make sure the Enabled column is checked (Mac) or that Filter is on is selected (Windows).
    If you wish, type any notes you want in the Description field to help you remember what the filter is for.
    Using the pull-down menus, specify the criteria your filter should check. Use the blank text field to type the text your filter should look for in the email message. If you want to specify more criteria for this filter, click the More button.
    Use the next set of pull-down menus to specify what action the filter should perform with messages that match your criteria. This is where you designate the mail folder you want the message sent to.
    Close the Mail Filter window (Mac) or click OK (Windows).

  • Yahoo
    Click on "mail options", "filters", "add", fill in desired rules and mailbox, and click "add filter".

    Compressing Mail Folders

    If you're planning to save a lot of messages, and hard drive space is a concern, you may want to consider compressing your mail folders.

    Compressing doesn't limit your access to your messages in any way; it simply makes them take up less space in storage. Here's how to do it:

  • EarthLink 5.0 MailBox
    Click the MailBox menu and select Compact Folders.

  • Eudora (Windows and Mac)
    in Windows versions, click the Special menu and choose Compact Mailboxes. In Mac versions, hold down your Option key and click the small mailbox size display in the bottom-left corner of any open mailbox window.

  • Microsoft Outlook Express (Windows)
    Go to the File menu and select the Folder submenu.
    Select Compact All Folders.

  • Microsoft Outlook Express (Mac)
    From the Tools menu, select the Compact submenu.
    Select All Local Folders.
    Netscape Messenger (Windows)
    Go to the File menu and select Compress Folders.

  • Netscape Messenger (Mac)
    Open the mail folder you'd like to compress.
    Go to the File menu and select Compress This Folder.

    Sort Your Email

    In almost any mail program, you can arrange your messages in the order that you prefer. For example, alphabetically by the sender's name or chronologically by the date you received the messages.

    At the top of most mail folder windows, there is a bar containing the name of each column (From, Subject, Received or Date, and so on). Clicking on any of these column headers will automatically sort your messages by the named criteria. Click the same header again to reverse the order of your messages- for example to list in reverse chronological order.
